The results
- Mobilisation and management of 100 operational and 150 surplus properties.
- A project management approach was adopted with milestones and key dates so that the various deliverables could be co-ordinated.
The challenges
- Changing your property management supplier is one of the most high risk activities a Corporate can do. The risk of loss of data, and missing key events such as break clauses in leases and payments to Landlords is high. Aviva needed to be confident in their property supplier's ability to achieve a smooth transition with no loss of data and ensuring the portfolio was effectively managed through the mobilisation period.
What we did
- We migrated the management of 250 properties to our management.
- This involved loading client data on to our financial and management systems together with obtaining copies of all legal documents and setting up systems and processes for a successful management regime, dovetailed with the needs of the client.
- To achieve this we established a project management approach with Gannt chart and milestones
We appointed a dedicated project manager to control the deliverables and ensure all the issues were addressed. - We adopted a structured approach with the previous supplier to ensure data transfer was both timely and comprehensive.
- We agreed with Aviva the key issues during mobilisation and a process for dealing with them.
- We set up a weekly meeting regime with the client and ensured that tasks were discussed, issues signed off, new issues raised, and the relevant parties from both Aviva and BNPPRE were involved at all stages.
- Mobilisation was completed and signed off by both sides within the agreed time period
